AI voice agent script template

This AI voice agent script template gives you everything an AI caller needs to call new leads, qualify them and book appointments: a system prompt with guardrails, a call flow that opens with AI disclosure, objection replies, a voicemail and the fields to write back to your CRM. It is built for speed-to-lead calls to people who consented at opt-in.
Quick answer

What should an AI voice agent script include?

A clear role and goal, an opening line that discloses the caller is an AI, a short need check, three or four qualifying questions in order, a booking step with two time options, replies to common objections, a voicemail, and rules for opt-outs and handing off to a human. Keep each turn under 20 seconds.

How to use this template

  1. Fill Part A with your company, offer and the facts the agent may share. Anything not listed should be handed to a person.
  2. Write the qualifiers in Part B using our lead qualification questions.
  3. Connect the calendar so the agent offers real open slots, and map Part E fields to your CRM.
  4. Test 30 to 50 calls internally with different personalities: rushed, skeptical, off-topic, wrong number.
  5. Launch on new leads only, triggered within 60 seconds of opt-in, and review recordings weekly.

The AI voice agent glossary entry covers how these systems work.

Customizing it by industry

  • Personal injury: qualify accident date, injury and treatment, and whether they have an attorney; transfer qualified callers live to intake.
  • Roofing, HVAC and solar: confirm homeownership, address and urgency, then book an on-site estimate window.
  • Mortgage and insurance: qualify purpose and timeline only; leave numbers to a licensed person.
  • Med spas and clinics: confirm the treatment and location, and avoid any medical advice.
  • Coaching and B2B: qualify revenue and decision-maker, then book a strategy call with the closer.

See how it compares with a team in AI voice agent vs human setter.

Mistakes to avoid

  • Hiding that it is AI. Disclose in the first sentence and whenever asked.
  • Long monologues. Callers interrupt; short turns keep the conversation natural.
  • Letting the agent improvise prices or promises. List allowed facts and forbid the rest.
  • No human escape hatch. Always offer a transfer or callback.
  • Calling without consent. Capture consent at opt-in and honor opt-outs immediately.

PART B. CALL FLOW
============================================================

1. OPENING AND DISCLOSURE
"Hi, is this {first_name}? This is {agent_name}, an AI assistant with {company}. You just asked about {offer} on our website, so I am calling to help you get that set up. Do you have two minutes?"

 - Yes -> step 2.
 - Busy -> "No problem. When is a better time to call back?" Book the callback, confirm, end.
 - Wrong person -> "Sorry to bother you. I will update our records." End and mark as wrong number.

2. CONFIRM THE NEED
"Great. Can you tell me a little about what is going on with {topic}?"
Listen. Reflect it back in one sentence: "Got it, so {summary}."

3. QUALIFY (ask in order, one at a time)

     Disqualify if: {answer}. Say: "Thanks for sharing. We are not the best fit for that, but {referral or resource}."
 Q2: {qualifier 2, e.g. "How soon are you hoping to get this done?"}
 Q3: {qualifier 3, e.g. "Is anyone else involved in the decision?"} If yes: "Can they join the appointment?"
 Q4: {qualifier 4, e.g. budget range, accident date, current insurer}

4. BOOK
"Based on what you shared, the next step is a {appointment type} with {human_name}. I have {slot 1} or {slot 2}. Which works better?"
 - Confirm the time, their email and the address or call number.
 - "You will get a text and email confirmation in a moment. Reply STOP to any text if you want to opt out."

5. CLOSE
"Is there anything you want {human_name} to know before the appointment?"
"Perfect. Thanks, {first_name}. Talk soon."

============================================================
PART C. OBJECTION RESPONSES
============================================================
"Are you a robot?" -> "Yes, I am an AI assistant for {company}. I can get you booked, or I can have a person call you back. Which would you prefer?"
"How much does it cost?" -> "It depends on {factor}. {human_name} will give you exact numbers at the {appointment}. Would {slot} work?"
"I am just looking." -> "Totally fair. The {appointment} is free and there is no obligation. It just gives you real numbers to compare."
"Send me info instead." -> "Sure. I will text you a link now. Would it help to also pencil in a time, so you do not have to chase us?"
"Stop calling me." -> "I am sorry about that. I have removed you from our calls and texts. Have a good day." End call. Mark do not contact.

============================================================

Frequently asked questions.

Does an AI voice agent need to say it is an AI?

Yes. Our template discloses it in the first sentence and confirms it whenever asked. Disclosure builds trust, reduces complaints and is required in some places. Rules on AI calling, consent and recording vary by state and country and are changing, so review your setup with counsel.

How long should an AI sales call be?

Most qualifying and booking calls run two to four minutes. The calculator on our ROI page assumes three minutes per lead across all attempts. Keep the agent's turns short, ask one question at a time, and book as soon as the lead qualifies rather than continuing to chat.

How much does it cost to run?

In our deployments, AI calling costs roughly $0.10 to $0.25 per minute, which works out to about $3 to $9 per booked appointment, compared with $40 to $120 from human setters. Add the cost of building, testing and maintaining the agent and its integrations.

Can the agent transfer calls to my team?

Yes, most voice platforms support live transfer to a phone number or queue. Use it for qualified high-value leads, upset callers and anyone who asks for a person. If nobody is available, the agent should book a callback with a specific time rather than leaving the lead waiting.

How do I improve the script after launch?

Review 20 to 30 recordings a week. Look for where callers hang up, repeat questions or get confused, and tighten those lines. Track booking rate on contacted leads and show rate on booked calls. Change one part at a time so you can see what moved the number.
